What was broken

Every completed service request at FlowForge Plumbing required staff to manually create a service report, fill in customer details, export it as a PDF, attach it to an email, send it to the client and update internal records to reflect completion. Each step was straightforward in isolation but together they created a repetitive administrative burden that grew heavier as service volume increased. The process was slow, inconsistent and entirely dependent on staff remembering to complete every step correctly every time. One missed step meant a client did not receive their report or internal records stayed out of date.

What I designed

Designed an automated workflow that transforms a validated service request into a completed client deliverable with minimal manual intervention. Once a service request is marked as Processing in Notion, the system validates the request, personalizes the communication, generates a branded report from a Google Docs template, converts it to PDF, emails it to the client and updates the internal record to confirm completion.

The combination of validation filtering, data transformation via Formatter by Zapier and dynamic document generation from a template shows an understanding of how to build automations that are accurate, professional and production ready rather than just functional.
